How do other CFI's keep track of their students/progress/lessons etc?

Ok, I'm not a CFI but:

Where I'm doing my PPL training, they use the Cessna Private Pilot Course
software.

I have a floppy disk which I update each time I finish a ground school
chapter and my CFI updates the same disk after each flight lesson.

By passing this floppy back and forth, they can track my ground school
progress and I can track my flight progress with both camps being able to
pull up quiz results, print reports and show progress on flying skills.

It's a pretty slick system...even if I do have to listen to John and Marha
King's cheesy humor (not to mention the fact that one of the talking heads
they've hired for this itteration of the course is none other than Rick
Rockwell...the original "Who Wants To Marry A Millionaire?" dude!

Perhaps you could just create a spreadsheet to track hours and keep notes
about each student?

Most of the popular syllabi have forms for doing this. Jeppesen makes some
very nice folders that allow you to track and grade the progress of each
student. Cessna Pilot Center software is kind of cheesy (it is written in
Toolbook and is better than the previous version which was written in
Paradox -- I suppose the next version will be written in Clipper, or maybe
FORTH or Smalltalk or even a Microsoft Word macro). Nevertheless, it mostly
works (emphasis on 'mostly') and customer support is better than average.

One would think that at the very least the software would allow you to
assign a grade to each lesson as required by VA. But it doesn't.

In fact, it would be very nice to have software that does all the VA
paperwork for you.

Or software that keeps track of your progress towards Gold Seal instructor.

we did the same thing.. but when we did it, it was a training folder
produced by Cessna... and it stayed at the flight school.. it's hard to
erase pen on paper.. it's easy to trash a floppy..

we use the "training folder" method in the glider club too.

I maintain a student record which is accessible from a website. They
are password protected so that only the intended student can view it,
and only I can change it. The record includes my comments,
recommendations, an audio recording for that flight (I record all
flights) and a GPS track plot if it was a xc flight. I realize this
may be an overkill, but I am able to do this because I take no more
than 2-3 students at a time. If you want to see a sample, go to
http://www.geocities.com/asarangan/audio.html and enter guest.

If you are using the Cessna Pilot Center software it is not very easy to
trash the floppy. The program sends a copy of its data to King Schools on a
regular basis and can be retrieved from there. If the floppy is lost or
destroyed a new will be created when you update floppy program at either the
home or school computer. The only thing you need is a blank floppy. The
program completely erases the floppy every time you do this anyway.

Doesn't seem like overkill to me. Shows effort on your part, at the very
least.
I like it.
